What do I actually need to share?
Share the information needed to explain the practical adjustment. A club should have a reason before asking for detailed medical information. If it needs to retain disability or health information, additional data-protection requirements may apply.
If the organisation needs a record
Keep a separate, minimal record of the agreed adjustment — for example “accessible table position required” — rather than automatically copying this whole participant-owned planner into a CRM, marketing database or impact dashboard.
Review
Did the adjustment work? What should change next time? Access needs and venues can change, so review is normal.
You do not have to apologise for requesting an adjustment.
